Chairman Of The Congregation - click to view

Position: Chairman Of The Congregation

Accountable to: Trinity Lutheran Church Congregation

Purpose: Serves as the chief executive of the congregation; exercises general administrative responsibility for the entire organization of the congregation; and is responsible for ensuring that all elected or appointed officers, boards and committees function and carry out their duties and responsibilities.

Primary Duties And Responsibilities:

1. The presiding officer of the congregation shall be a Chairman who shall be elected annually.

2. It shall be the duty of the Chairman to:

  1. Preside at all meetings of the Voters’ Assembly and Church Council.
  2. Serve as an ex officio member of all Boards, and see to it that they function efficiently.
  3. Represent the congregation in matters of business and sign or countersign all legal documents.
  4. Meet periodically with the pastor(s) and the vice chairman to review past progress and plan future efforts and priorities that are needed in the total program of the congregation.
  5. Recommend to the voters’ assembly, in coordination with the church council, qualified person(s) acceptable to the Church Council to perform the annual review of the financial records of the congregation.
  6. Be responsible for notifying members of the voters’ assembly of the date, time and place of regular and special meetings of the voters’ assembly.
  7. Perform whatever duties shall be assigned to him by the congregation.

Vice-Chairman of the Congregation - click to view

Position: Vice-Chairman

Accountable to: Trinity Lutheran Church CONGREGATION

Purpose: To serve as the second-level executive of the congregation and work with all elected and appointed officers, boards and committees to assist them in carrying out their assigned duties and responsibilities.

Duties And Responsibilities

1. The Vice Chairman shall be elected annually.

2. The Vice Chairman shall:

  1. Preside at all meetings of the church council and the voters’ assembly at the request of, or in the absence of, the chairman.
  2. Meet periodically with the pastor(s) and chairman to review past progress and plan future efforts and priorities.
  3. Coordinate calendar activities for the coming year.
  4. Oversee all job/position descriptions and review them annually. Any organization within the congregation requesting a new paid staff position, or a called position, must submit a request to the Vice Chairman accompanied by a preliminary job description for the potential new position. The Vice Chairman will present the request and job description to the Board of Elders for review and salary recommendation. The entire package will then be submitted to the Church Council for review and approval.
  5. Perform the duties of recording secretary in the individual’s absence.
  6. Perform whatever duties shall be assigned by the congregation.

Treasurer - click to view

Accountable to: Trinity Lutheran Church Congregation

Purpose: To oversee the financial affairs of the congregation.

Duties And Responsibilities:

1. The Treasure of the Congregation shall be elected to a three-year term.

2. The Treasurer Shall:

  1. Be the chief financial officer of the congregation and shall be responsible for the overall financial programs of the congregation in accordance with policies approved by the church council and the voters’ assembly.
  2. Be responsible for the safekeeping of all funds, securities and fiduciary documents of the congregation.
  3. Should funds (other than for Scholarships) be withdrawn from the Endowment Fund, recommend to the Church Council methods and means to expeditiously replace those withdrawn funds.
  4. Be the disbursing agent of the congregation. All checks shall be issued under the authority and supervision of the treasurer, who shall be responsible for the establishment of appropriate fiscal controls over congregational funds.
  5. Supervise the Bookkeeper in keeping an accurate record of the receipts and disbursements of the congregation in books which shall be and remain the property of the congregation.
  6. Promptly pay all bills authorized by the congregation.
  7. Make monthly, quarterly, and annual reports to the congregation.
  8. Submit his books for audit at the end of the fiscal year.
  9. Perform such other duties as shall be assigned to him/her by the congregation.

Financial Secretary - click to view

Position: Financial Secretary

Accountable to: Trinity Lutheran Church Congregation

Purpose: Oversees all contributions received by the Church.

Duties And Responsibilities:

1. The Financial Secretary shall be elected annually.

2. It shall be the duty of the Financial Secretary to:

  1. Verify the counting and deposit of all contributions.
  2. Record all individual contributions in books which shall be and remain the property of the congregation.
  3. Make a report to the Church Council indicating trends, averages, goals, etc., as necessary.
  4. Make quarterly and annual reports to each family unit in the congregation of its contributions.
  5. Perform such other duties as shall be assigned to him/her by the congregation.

Recording Secretary - click to view

Position: Recording Secretary

Accountable to: Trinity Lutheran Church Congregation

Purpose: To keep accurate minutes of the congregation’s meetings and voters’ assemblies, or other meetings as needed.

Duties And Responsibilities: Serves as a recording secretary of the congregation.

1. The Recording Secretary shall be elected annually.

2. The Recording Secretary shall:

  1. Keep a permanent record of all minutes of the Church Council and Voters’ Assembly.
  2. Conduct all official correspondence of the Voters’ Assembly.
  3. Be custodian of the official seal of the congregation.
  4. Be responsible for notifying members of the Voters’ Assembly of the date, time and place of regular and special meetings of the Voters’ Assembly.
  5. Maintain the roll of voting members.
  6. Periodically report significant actions of the church council to the congregation.
  7. Receive all other records, reports and minutes and properly store them in the church archives.
